KAZYS LTD, Kiam Clinic – Terms and Conditions for Room Hire

This Agreement does not constitute a partnership agreement, and you do not have the authority to enter into contracts on our behalf.

At Kiam Clinic, we provide professional, private rooms for consultants to meet their clients. You are responsible for your clients, and our role is to provide the space. Our terms and conditions are designed to be clear and straightforward, providing a solid basis for a smooth working relationship.

Professional Requirements

Before entering into a room booking agreement, you must provide:

  • Photographic ID
  • Proof of relevant qualifications
  • Proof of membership of professional body
  • Proof of insurance
  • Proof of DBS check
  • Proof of ICO registration (for data protection compliance)
  • Complete Registration Form
  • Optional: Photo for Personal Dashboard

Bookings and Costs

  • All bookings are subject to availability and can be made via the Kiam Clinic online booking system.
  • When booking online, you must have a valid payment method saved in your Kiam Clinic account; payment will be taken at the time of booking.
  • All room hire charges are inclusive and payable at the time of booking.

Current Room Hire Rates:

  • Standard therapy rooms – £10.00 per 60-minute session

Advance and Regular Bookings

Therapists who use the online booking system may book up to one month ahead.

Registration

  • You must be fully registered with Kiam Clinic before making any bookings.
  • Registration remains valid as long as your documents, memberships, and insurance are kept up to date.
  • Either party may end this arrangement at any time by providing at least 7 days’ written notice.
  • Upon termination, your shared documents will be stored securely for a minimum of 3 years unless you request permanent deletion.
  • You must provide updated documents whenever your professional memberships or insurance are renewed.

Accessing the Rooms

  • Rooms are accessed via the main front entrance of Kiam Clinic.
  • There is a waiting area for clients. You are responsible for escorting your clients to and from the room.
  • You can find full instructions for locating your booked room in the guide we will send to you after your booking is confirmed.
  • Free Wi-Fi is available for therapists in each room (login details available from Reception).
  • The building is accessible for those with mobility needs. Please inform us in advance if you require parking or a ground-floor room.

Cancellation

  • Full refund if cancellation is made more than 24 hours before the booking.
  • No refund if cancellation is made less than 24 hours before the booking.

Responsibilities

You agree to:

  • Conduct yourself professionally at all times.
  • Ensure your clients behave appropriately while on the premises.
  • Use the room only during your booked and paid-for time slot.
  • Vacate the room promptly at the 55-minute mark to allow a 5-minute gap for preparing the room for the next booking.
  • Ensure your booking details are correct. Changes to date/time may not always be possible.
  • Accept that personal/professional belongings are brought at your own risk.
  • Report any damage immediately and pay any repair/replacement costs within 14 days.
  • Maintain your own GDPR-compliant system for storing client data.
  • Have a complaints policy in place for your clients.
  • Avoid eating food in the therapy rooms to maintain cleanliness.
  • Not smoke or vape anywhere in the building or its grounds.
  • Leave the room and communal areas tidy, switch off electrical equipment, lights, and close windows before leaving.
  • Not bring pets, except for registered assistance dogs.

Safety Measures

  • A first aid kit is available at Reception.
  • Fire extinguishers are located throughout the building.
  • You must familiarise yourself with fire escape routes.

Breaches of Agreement

Breaking these Terms & Conditions may result in termination of your booking rights. We may cancel your agreement immediately if necessary. Any associated costs to resolve issues caused by you must be paid within 14 days of notification.

Emergency Contact Details

We may contact you annually to confirm your emergency contact details remain current.

By booking a room at KAZYS LTD, Kiam Clinic, you confirm that you have read, understood, and agree to these Terms and Conditions.
